I. What kind of AsaOne team member are you?
1. Internal vs. External
There are two types of team members: Internal and
External. The biggest difference between the two is that Internal
team members have access to team shedules via the Calendar (see
V. Registering schedules), while External team members do
not. If you need to have your status changed, contact the System Administrator for your site,
or your Team Manager for help.
II. The basics
2. How to log into AsaOne
2a. Connect to the Internet.
You need an Internet connection in order to log into AsaOne.
Start your Internet browser (Internet Explorer or Firefox) and type in your AsaOne URL. Eg.
http://subdomain.asaone.jp.
2b. Input your User ID and password to login.

2c. Click the Login button.
Note 1: The "If you forgot your password" link only works for designated team
manager and system administrator accounts. As a general user, if you forget your password,
notify your administrator.
Note 2: Go to step 6 to see how to log out when you are done.

2d. After you have logged in, you find that your Start
Page appears.

3. Change your password
We recommend that you change your password to something that you can remember. We also
recommend that you change your password from time to time for security purposes.
3a. Click on Password in the Start Page
panel.

3b. Confirm you have the correct User ID, then enter your Current
Password, your New Password, then retype your new password in the
Confirm Password box. When you are satisfied that this is correct, click on
the Change Password button to make the changes.

4. Edit menu items
You can choose which menu items you want to be shown in the menu.
4a. Click on the Customize Functions icon in the
Start Page panel.

4b. In the Customize Functions window,
click on the Enable radion button to enable the functions.

5. Enter a team
5a. Select the team you would like to participate in by clicking on the
tab for that team at the top, or the link in the Please select the team
panel.
5b. The panels available to team members will be displayed; the
Menu panel, the Message Panel, the Files
panel, and the News Board panel.

6. How to logout of your AsaOne account
When you are ready to log out, click on the Status drop down box and
choose Logout. You will then be logged out.

III. Communicate with team members
7. Send email
There are several ways that you can use the Send Mail function for
sending email to team members; through writing a message, uploading a file, and making an
appointment on the Team Schedule. Here we will assume that you just want to send an email.
7a. Enter your team window, and click on the E-mail link
in the Menu panel.

7b. Address and write your email.

7c. Suppose you only want to address it to one team member. Click on
Address Book.

7d. Choose the team member that you want to send this email to, then
click the Done button.
Note: If you want a copy of this email, add your email address too.
7e. Type in the subject and message, then click on the Add File
Attachment(s) button if you want to include an attachment.

7f. Choose the attachments that you want to include with this email, then
click the Email Attachment button.
Note: This only adds links to attachments on AsaOne, so third-parties will not have access
to those attachments. If the attachment is not available here, but is on your hard drive,
see 8. Post a new message for instructions on how to upload it to AsaOne.

7g. You now see an E-mail status report.

8. Post a new message
8a. Click on New Message to create a message for your
team.

8b. Type in a subject, and your message. Suppose you want to
add an attachment, and notify several of your team members by email about the attachment. In
this case, check the Also send message by email box, and click the
Add File Attachment(s) button.

8c. The Add File Attachment(s) section
opens up. Click on the Browse button, and navigate to the file on your hard
drive. You should see the path to the file listed in the box. Click the Send
button.
8d. You should now see the new message in the
Messages panel.
IV. Secure file-sharing
9. Create new folder
Contact your Team Manager if you would like a new folder created in your team's
Files section.
10. How to upload files
10a. Enter your team window, and click on the Upload
button in the Files section.

10b. To select, browse and upload files, follow these steps:
1. Click on the dropdown bar and specify the destination folder. Eg. Main.
2. Click on the Browse button and select the file to upload.
3. Type in a description of the file.
10c. Click on the Upload button.

10d. Now the file is saved, and all the team members can access the file
in a secure environment, and download the file if they choose.

V. Registering schedules (internal team members only)
Note: This function is only offered to internal team
members. If you are an external team member and need this function, but do
not have it, consult your Team Manager for help.
There are two schedules on AsaOne that you can use. The My Calendar in
your Start Page, and the Calendar found in your
Team(s). Both calendars update each other, however, the My Calendar
allows you to mask the reason for your engagement from your team schedules so you
can use it as a personal calendar. Here are the steps to using the Calendar
function in a team.
11. How to use the Calendar to arrange a schedule
Arrangement of a team schedule is done on the team screen menu. You can invite other team
members to a meeting, reserve conference rooms, etc., from the team schedule menu.
If you do not see the Calendar icon on the Team Page,
and you are an Internal team member, click on Customize
Functions, and enable Calendar. Internal team
members are advised not to disable the Calendar menu, as control of meeting
notices and or room reservations can be done via this Calendar.
11a. Enter your team window, and click on the Calendar
link in the Menu panel.

11b. The schedule will appear showing the events by week. You can choose
to display the events by day, week, month, or year.
11c. Click on the Add New Team Schedule option.

11d. Make your schedule.

11e. When you are finished, click the Save Calendar
button.
