What is Mailing List?

Mailing list allows sharing and distribution of information among designated members using email. Instead of entering email addresses of all members, mailing list allows sending and receiving of email messages among a number of members, in a much easier way and with fewer errors.
Followings are some of the advantages of mailing list:

  • Mailing list eliminates the risk of input error, whereas there always are such risks when email addresses are manually input.
  • Only one address is required when mailing list is used, whereas the mail size increases as the list of addresses become longer when email addresses are manually input.
  • Adding and deleting a member is much easier with mailing list compared to when manually input.

Mailing list functions in the following steps

  • A member of the mailing list sends an email to the designated address of the mailing list.
  • Mailing list server receives the email sent from the member.
  • The server processes the received email, and then distributes the email to the members.

The owner of the mailing list assigns the designated address of the mailing list at the time of application.

With Asahi Netfs Mailing List Service, the following rules are applied when assigning a mailing address.

  • The domain name following the symbol @ is fixed to ml.asahi-net.or.jp
  • The local part before the symbol @ can be assigned with the ownerfs choice of name. However, characters that can be used are limited to alphanumeric letters and hyphen, etc.

For example, if an email message is sent to a designated address of asahi-club@ml.asahi-net.or.jp, that email message will be automatically sent to all members who are subscribing asahi-club@ml.asahi-net.or.jp.

Contents of the Service

With Asahi Netfs Mailing List Service, in addition to the basic function of distributing email messages to subscribers of the mailing list, the following features are available.

Owner, Administrator and Subscriber

Owner is a person who applies to create a mailing list, and who is responsible for paying its fees. Only Asahi Net member can be the owner of the mailing list.
Administrator manages various settings of the mailing list. When an owner applies for a mailing list, he/she assigns an email address of the administrator. The owner can appoint anyone who has an email address to be the administrator. An administrator does not have to be an Asahi Net member. The same person can take the role of both owner and administrator.
Subscribers or members are those who register and subscribe the mailing list. Anyone who has an email address can be a subscriber or a member of the mailing list. A subscriber or a member does not have to be an Asahi Net member.

Email address of the administrator

Email address of the administrator assigned at the time of application or settings change, will be the address to which email is sent from the server when such necessity arises for any reasons, or to which error message is sent when email messages distributed from the mailing list bounce back.
A forwarding address of owner-NAME@ml.asahi-net.or.jp is set in the server, and emails sent to that address will be forwarded to administratorfs email address.
As the forwarding address of owner-NAME@... stays fixed even when administratorfs address needs to be modified for any reason, it can be used as a contact address made open to the members.
The actual administrative work need not to be done from the administratorfs address.

Processing subscription and cancellation of subscription automatically

To process application for subscription, the owner can select whether to automatically register those members who applied for subscription or have the administrator manually register each of those members.
The administrator can change this setting after the mailing list has been created.

Number of members

Four types of mailing lists are available, that for up to 300 members, 1,000 members, 3,000 members or 10,000 members.
When you select mailing list for up to 300 members, that means 300 members (including owner and administrator) can subscribe the mailing list. When the number of member who applies for subscription exceeds 300, Asahi Net will send a message to both the applicant and the administrator notifying that he/she gCannot subscribe the mailing list as the number of members reached the limit.h
Monthly charge will differ depending on the maximum number of members allowed in the mailing list. Please refer to Charges for more details.

Check by the administrator on the email (articles) sent to mailing list

The owner selects whether to distribute each email message automatically, or to have it checked by the administrator before distributing it.
The administrator can change this setting after the mailing list has been created.

Adding sequential number to the mail header automatically

With the administrator updating the settings file after the mailing list has been created, an original header or sequential number can be automatically added to the header of each email message.

Email Digest Service

This service combines multiple email messages sent to the mailing list into a single mail, and then distribute to members once a day.

Email digest

Email digest function can be used for those members who do not wish to receive number of email messages separately.
This function combines multiple email messages to a single mail (email digest) and send to members who wish to receive email digest. The owner decides whether to use email digest function when creating a mailing list.

Archiving Service

This Service allows archiving email messages that were sent to the mailing list to a server.
Asahi Netfs Archiving Service is optional with additional charge of 500 yen (tax-excluded) per 10 MB/month.
The stored email data can be retrieved anytime using a command mail.

Managing mailing list by email

The administrator can send various directions to manage the mailing list by sending a command mail to the designated email address.

Mailing list server

Asahi Netfs mailing list server is based on Majordomo Version 1.93 developed by Great Circle Associates, which is software to manage internet mailing list, with modifications made at Asahi Net.

Archiving Service (Optional)

Archive size can be increased or decreased by 10 MB. For example, if you sign up for 20 MB, the monthly charge will be 1000 yen (tax-excluded) yen/month.
Monthly charge for the Mailing List Service will be billed to the owner together with that for the Asahi Net Internet Connection Course.

Plan examples

  • Up to 300 members. No Archive.
    Initial charge: 2000 yen (tax-excluded)
    Monthly charge: 500 yen (tax-excluded)

  • Up to 300 members. Archive size 10 MB
    Initial charge: 2000 yen (tax-excluded)
    Monthly charge: 500 yen (tax-excluded) + 500 yen (tax-excluded) = 1000 yen (tax-excluded)

  • Up to 1,000 members. Archive size 10 MB
    Initial charge: 2000 yen (tax-excluded)
    Monthly charge: 800 yen (tax-excluded) + 500 yen (tax-excluded) = 1300 yen (tax-excluded)

  • Up to 10,000 members. Archive size 20 MB
    Initial charge: 2000 yen (tax-excluded)
    Monthly charge: 2500 yen (tax-excluded) + 500 yen (tax-excluded) ~ 2 = 3500 yen (tax-excluded)

Notes

This optional service can only be used as an additional to internet connection services. You cannot apply for this optional service by itself.

Schedule and how charges are applied

Mailing List will be created within five business days* after application has been accepted.
The initial charge will be applied in the month in which the mailing list is actually created. Monthly charges, including optional charges for Archiving, will be handled as follows:

  • If application is received by the 20th of a given month, charges will be applied starting in that month.
  • If application is received on the 21st or later of a given month, charges will be applied starting from the next month.

Business days exclude Saturdays, Sundays, National holidays and from December 29 to January 4.

Changes to list size or archive size

  • When an increase in list size or archive size is requested, the change will be put into effect within five business days after application has been accepted. When application is received by the 20th of a given month, increased charges will be applied starting in that month; when application is received on the 21st or later of a given month, increased charges will be applied starting from the next month.

  • When a decrease in list size or archive size is requested, by the 20th of a given month, the change will be put into effect in the beginning of next month, and reduced charges will be applied starting from the next month. When the decrease is requested on the 21st or later of a given month, the change will be put into effect in the beginning of the month following next month and reduced charges will be applied starting from the month following next month.

Cancellation of Mailing List

To cancel your mailing list, please notify us within the month prior to the month you wish to close the mailing list. The Mailing List will be closed at the end of the following month in which request for cancellation was received.
Please also note that the owner or the administrator of the mailing list shall be responsible to notify the subscribers of closing the mailing list.
